Principal accountabilities:

  • TRAVEL/MEETINGS ARRANGEMENT
    • Provide assistance to the superior and regional visitors in developing their business schedule, make travel arrangements, and coordinate arrangements for external/internal meetings preparing appropriate materials accordingly using personal judgment as well as instructions in order to increase productivity and efficiency.
    • Ensure that business travel request form of Sales and Marketing department are properly filled and deliver them to HR department.
  • CLERICAL SUPPORT
    • Provide clerical support to the superior and regional visitors (typing, filing, copying, sending facsimile messages, answering and screening phone calls, handling and screening incoming correspondence, dealing with outgoing correspondence on the basis of superior guidelines) to enable an effective paper & information flow from/to superior and internal external contacts.
    • Prepare all the required documents related to the department activities and screen all the incoming information with regards to the activities, track payments in order to provide an effective documentation flow and timely payments for the projects.
  • PRESENTATIONS AND REPORTS
    • Prepare presentations and reports for the superior on the basis of guidelines provided by the superior, select the relevant data and develop the design for the superior’s presentations, reports and contracts to achieve a high quality level of the information presented, taking initiatives in order to maximize productivity and get accomplished what has been assigned.
    • Collect and/or prepare calculations and statistics to help the superior control and analyze different situations, according to the tasks on ad hoc basis.
  • TRANSLATION
    • Translate or organize translations of documents of any nature for the superior in order to provide proper translation with regards to quality and deadlines.
  • ADMINISTRATIVE AND CLERICAL SUPPORT FOR THE DEPARTMENT
    • Provide administrative and clerical support to the Sales Department making arrangements for department meetings, preparing stationary and other kind of requests for the department, screening incoming calls, mail/correspondence, making travel arrangements for guests in order to increase the efficiency of department operations.
    • Draw up payment forecast reports as well as travel requests and reports for the department.
    • Collect the necessary data to provide accurate and timely information for timetable sheets of department.

Requirements:

  • Fluent english is a must
